General Board Meeting & Principal Coffee Chat Minutes
 
Welcome
                                               
Co-Presidents, Christy Quincannon & Chris Schwiegerath, introduced themselves and welcomed all in attendance.
 
Officer Reports:
 
Secretary Report                                Marty Cook on behalf of Laura Dascal
  • No report
Treasurer Report                                Tori Collins
  • We are currently on target for all beginning of the year collections.  We generally collect most of our $ at the beginning of the year.  Expenses are starting to come in.  Tori briefly went over the Treasurer’s financial report (see attached)
VP at Large Report                             Carrie Johnsen / Trina Ridenhour
  • Working on custodian day, Oct 2nd, $25 target giftcards
VP Communications                           Suzy Levi
  • Reminded everyone how to sign up for the “reminds” that are sent out by the PTO as well as the Courier (our school newsletter).  These are both valuable communication tools.
Deadline to have something put in the Courier is Fri at noon.  It is going out weekly during September and will start going out every 2 weeks beginning of Oct.
VP Fundraising Report                        Marty Cook
  • Capital campaign is about 50% of our target goal.  All money is used to support our students, teachers, and school.  You may contribute throughout the year and remember to check and see if your employer matches contributions.
VP Special Events Report                   Brooke Christmas
  • Spirit week is being worked on now.  See Brooke if you would like to volunteer.  First meeting, 9/24 at 8:45am.

  • Remind.com and Newsletter Signups
Christy Quincannon reminded everyone how to sign up for the “reminds” that are sent out by the PTO as well as the Courier (our school newsletter).  These are both valuable communication tools.

Christy Quincannon reported that the Athletic Booster Club desperately needs volunteers.  Please contact Nancy Hammonds if you would like to be a volunteer.
  • Curriculum Night – Springboard / Required Fees Sales
Christy Quincannon reported that the PTO will be selling Springboard books and collecting required fees at our upcoming curriculum nights next week.  (Tue, 9/25 – 6th grade and Thu, 9/27 - 7th & 8th grades… both are from 6-7:45pm).  Curriculum night is a structured event where parents go to their student’s homeroom and receive a copy of their schedule. Parents then are able to walk their student’s schedule and hear a presentation from each teacher.

Committee Reports:

Aaron Smith reported that our first book fair will be Oct 22-26 (same week as spirit week), with setup taking place the Friday before.  There will be a signup genius going out to the people who volunteered to help with book fair and she will ask for further volunteers if needed.  It is difficult to get middle schoolers through the doors so please encourage your students to buy books.  The ELA teachers bring their students through

Suzy Levi reported that their first event for teachers and staff will be Oct 18th; sign up was sent around for volunteers.
Rebates (Box Tops/Vic)                                 Clair Rogers /Amber Schuchmann /Jennifer Smith
Clair Rogers reported that we are collecting box tops now.  Publix Partners is switching to a program similar to what Harris Teeter does beginning 9/30.  You need to go to the Publix website or into a store to sign up.  Please relink your Harris Teeter VIC accounts.  Sign up for Amazon Smile.

            Heather Christman reported that fee collection has been going well.
Required Reading                                           Amber Schuchmann /Aaron Smith
Aaron Smith reported that 1st quarter required reading sales are now complete.  The PTO gets 25% of our sales as profit.  Please purchase your books through the school whenever possible.
School Mates                                                  Beth Brock
Beth Brock reminded us that Albemarle Road Middle School is our sister school and we help support a variety of needs there.
School Store                                                    Lisa Felty /AudiNaftzger /Shantay Goldsten
Lisa Felty reported that they will need help in the school store beginning in December.  The school store is open MWF from 8:45-9:15 am.  Volunteering is very easy.

            Jennifer Parsells reported that their first meeting will be this coming Monday at 8:45 am.
Volunteer Coordinator                                    Heather McAfee
Heather McAfee reported that all volunteer lists have been sent to committee leaders.  If you didn’t receive yours, please contact her.
Yearbook                                                         Rana Fox
Rana Fox reported that fall picture day will be coming soon and she will need lots of volunteers.  A signup will go out but we don’t know picture date yet.  Please consider signing up for at least one shift.  If you have pictures to share of events during the year, please remember to take them in high resolution and send them to her.
 
 
 
 
Principal Update:  Mrs. Brooks
 
Mrs. Brooks mentioned that the air conditioning hasn’t been working properly since the hurricane and CMS is working on it.
 
1.State of the school –
1912 students currently enrolled. We were given 2 additional staff positions the Thursday before school started.  She put both of them at 7th grade to lower the number of students in core classes.  2 teachers on 7th grade hall are teaching 2 classes of 7th grade and 1 of 6th grade (not ideal).  New ELA teacher starts Monday.  New Science teacher coming soon, waiting on HR approval.  Getting 1 more position which she found out about last week.  It will go to the elective department but no classrooms currently available so has to be able to float.  An additional Fit for Life position will be added.  Mr. Drake, current Athletic Director, is going to be taking that role and she will be hiring a new health teacher.  Lots of conversation about “over-crowding, size, equity among schools in our area”.  Any conversations had with elected officials need to be in a positive, constructive manner.  Board member Sean Strain; City Council Ed Driggs would be good contacts or any other school council member. Parents are welcome to speak at board meetings about any concern (board meetings that have “open comment”).  Ballantyne Breakfast Club does a good job of tackling some of these issues as well.
 
2.Data –
Our students are getting a good education.  We get data on GLP (grade level proficiency) and CCR (college and career ready).  Most recent scores are as follows… Reading - overall 79.3% for GLP and 70.7% for CCR; Math - overall 83.6% GLP, 79.4% CCR.  Growth data (all reading, all math, 8th gr science) overall score 4.81, exceeds expectations; reading was -.15 (10th in CMS) (meets expectations) and math was 9.99 (3rd in CMS) (exceeds expectations). Overall school grade = A; reading school grade = B; math school grade = A.  This year we are going to get sub group grades, we don’t have them yet.
School Performance grade… 83.5% (achievement; counts 80%) of our kids made a 3, 4, or 5 on EOGs.  Growth grade… 91.3%; (counts 20%). Multiply the 2 scores and get a Performance Score… ours = 85% therefore A. 
Reading achievement was 81.1% and math achievement was 84.4%; reading growth was 79.2% and math growth was 99.9%.  Multiply those and you get the 81% in reading = B and 88% in math =A.  Data is used by our school to create school improvement goals.  Our goals are literacy proficiency up to 85% or greater, and overall growth.
1st action priority is working on literacy instruction; we need to look at what the kids are being asked to do; teachers need to look at what the kids have produced; analysis of student work will increase.  Focus on the “why”. Why are we asking the kids to do certain tasks. 
2nd action priority is culturally responsive teaching; what does that look like; meeting kids where they are and understanding from whence they come; will involve looking at student work and asking whether or not teachers are being consistent. 
 
Suggestion made to have some kind of “welcoming committee” for families that are new to our area.  Elon Park Elementary currently does this.  PTO Executive Board to discuss at their next meeting.
